It works inside (shared) inboxes in Outlook or Gmail and automatically reads, labels, and drafts replies using live data from the systems the team already works with: ERP, TMS, WMS, and more. When data needs to be entered into a connected system, the platform extracts the relevant information from the email body, the attachment, or both and presents it for human review before anything is pushed to a system. Nothing is sent and nothing is entered automatically. A person always reviews and approves. In active deployments, average email handling time has dropped from 4.5 minutes to under 1.5 minutes. How it works Intelligent labeling and triage Every incoming email is automatically classified using labels the team defines. These labels reflect the team's actual workflow: shipment status request, damage claim, booking confirmation, customs query, POD follow-up, invoice dispute, whatever categories are meaningful to the operation. Labels determine what happens next. They assign ownership, set priority, trigger escalation rules, and route the email to the right person or queue. By the time a team member opens the inbox, it is already structured. Nothing has been read, sorted, or allocated manually. Teams configure their own label taxonomy. The platform adapts to the process - the process does not adapt to the platform. Context-aware draft replies When an email is labeled, the platform retrieves the relevant context from connected business systems and drafts a reply. The draft is grounded in live operational data, not generated text that approximates an answer. If a customer asks where their shipment is, the draft response draws from the actual TMS or WMS record. If a freight forwarder is following up on a customs document, the system retrieves the relevant file history. If a complaint references a previous interaction, the draft accounts for that thread. Drafts match company tone, support multi-language communication, and handle the variation in how different customers phrase the same request. Nothing is sent automatically. Every draft is reviewed and approved by a human before it goes out. AI document entry One of the highest-friction tasks in logistics operations is manual data entry from documents received by email: delivery notes, CMR forms, bills of lading, customs declarations, invoices, damage reports, and inspection certificates. These arrive as attachments or in the email body itself, often in varying formats, and someone has to read them and type the relevant fields into the system of record. virtualworkforce.ai automates the extraction. Nothing is entered automatically. The system does the reading and the preparation; the human does the verification and the decision.
